CONFERENCES

Generation_XYZ

INITIAL THOUGHTS

How can we create sexy and inspirational conferences? Why are there not any cross-sector conference formats? What does it actually take to inspire 500 different people? Why does conferences always take place in practical and boring places like hotels and conference centers?

CONTEXT

The startup company,  F5 Networking, wish to inspire and educate people started with network meetings for leaders in the same fields, meeting up 4 times a year to learn, talk and get in touch with whatever is moving in their industry right now.  But we wanted to offer them something more. Something bigger and something where they could meet the whole network of F5 Networking and not just the same 30 people they meet 4 times a year.

CHALLENGE

-Creating and event with relevance for all the sectors

-Making it into an experience

-Do it all within a short timeframe

-Make a sustainable solution for executing

-Do it within a VERY limited budget

-Do it with VERY little time for preparing

PROCESS

1 content creater

1 concept developer

1 event manager

We sat down, talked about dreams and visions for these events and then agreed on the date of the first conference. From then on it was all about action and creating a small 'test-conference' to see, if the format was fitting our members and if it was somethings they were interested in. Preto-typing our way through the first 4 events in the first year, showed us that there were definitely a market for us, since the events had gone from 50 people to 400 in just that first year.

SOLUTION

-General themes applying to all sectors, focusing on leadership

-Making people use all 5 senses

-Serve alcohol

-Live music halfway through

-Create soundscape and interior to support the themes

-Invest in certain material that is being used every time

-Spend A LOT of time negotiating with suppliers and trade services
  instead of money

-Deal with suppliers and venues that can helped executing
